Client Cancellation Policy

Our primary focus is to improve the quality of life of all children with special needs and their families.  Consistent attendance is necessary to maximize progress.  We have instituted a fair cancellation policy as follows:

Policy:

Arlington Pediatric Therapy must be informed of all cancellations 24 hours prior to the scheduled appointment or as soon as possible.  We have a phone system that allows you to leave detailed messages for your therapist or the office staff.  Failure to contact APT prior to time of appointment will result in a $50.00 charge for that treatment time, payable within 30 days.

Chronic cancellation can and will lead to discharge from APT; unless extenuating circumstances are discussed with your therapist or an APT staff member.

Chronic Cancellation Procedure:

When a client is not in compliance with the above policy, an APT staff member will contact the family to discuss reason(s) for cancellation, attempt to alleviate the problem, and offer support in improving attendance.

Should services be terminated, the family will have the option to be placed on our waiting list and be picked up by another therapist when an opening becomes available.  All outstanding fees and bills must be settled prior to restarting therapy.

APT will also offer assistance in finding services elsewhere as appropriate.  Additionally, an APT staff member will notify the referring physician and service coordinator of the outcome of the action taken.
